The Role
To provide an effective and efficient business support service to all areas of Airspace, Air Traffic Management and Aerodromes (AAA), supporting both the management team and technical teams in delivering their business and regulatory obligations.
Core Accountabilities
- Manage and respond where possible to internal and external stakeholder incoming correspondence such as emails and letters, either verbally or in writing ensuring CAA service standards and quality standards are met. This includes gathering and collating necessary information, logging and chasing for responses as required to meet the SLA
- Provide meeting support (i.e. assisting the chair to develop agendas, collate and circulate papers, prepare and circulate Action/Decision log, etc.) and the organising of the meeting including all the logistics (i.e. catering, venue booking, etc.)
- Provide business support as required on special projects and in support AAA
- Responsible for managing and updating relevant databases and systems to maintain accurate and effective records and retrieve management information from the system (including taking on Super User responsibilities for systems as required)
- Management of electronic filing of CAA records and decisions using appropriate naming conventions in line with CAA records management policy ensuring accuracy for regulatory purposes
- Providing support to AAA in the collation and delivery of data and information as required by the management team or technical experts
- Distribution of safety and regulatory related information
- Providing support in preparation for and attendance of seminars, roadshows and other stakeholder events
- Undertake training, mentoring and oversight of the work of new / temporary staff members to AAA using standard induction processes and approaches
- Other ad-hoc business support tasks when required

About You
To be considered for this role you will need to have:
- An interest in and/or experience of working in an aviation environment would be advantageous
- A pleasant, courteous manner and ability to research, assimilate and provide information is essential
- Education to GCSE or higher standard in English and Maths
- Proven time management skills including an ability to effectively prioritise in a busy environment to meet business needs and customer needs
- Methodical and organised with an eye for detail
- Keyboard skills for database entry
- Excellent communication skills, both written and verbal, with a variety of internal and external people, including people whose first language may not be English
- Produce good quality, accurate work to deadlines
- To work effectively in a small team, the post holder must be prepared to be cross-trained and share administrative tasks including routine administrative duties
- Proficient operator of Microsoft Word, Access 2000 and use Excel. To work to set formats or design suitable formats to suit the requirements of the task is essential
- Will and able to perform a variety of office functions (flexibility), demonstrating sound administrative skills and be able to switch form one task to another quickly
- Knowledge of SARG and AAA department procedures would be desirable
- Experience working in a customer service environment would be beneficial
- Confidence to ask questions and seek resolutions
- Exercise tact and discretion regarding disclosure of information
- Ability to deal with difficult customers
- Ability to work effectively under pressure with a high degree of public contact
- Ability to think logically, and make decisions on a wide variety of cases, whilst applying good judgement around when to seek further advice
Additional Information
For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.
