The Role
This role (as part of the Revenue & Projects Team) is responsible for ensuring that all administrative activities relating to revenue management and project codes are completed accurately and within required timescales. This function is critical to the organisation, supporting the timely collection of customer payments and the provision of essential management information relating to resource utilisation and expenditure allocation across the CAA.
As part of a wider team, this role will collectively contribute to customer invoicing, query resolution, support of credit control issues, and the administration of the project code support process. This role also plays a key role in driving continuous improvement, seeking opportunities to enhance processes, improve service delivery, and increase efficiency across all areas of responsibility.
Core Accountabilities
General Administration
- Support the accurate and timely administration of revenue-related activities
- Assist in the preparation, validation, and processing of customer invoices and credit notes.
- Ensure financial records and supporting documentation are maintained accurately and in accordance with established procedures.
- Monitor and investigate routine discrepancies, escalating issues where appropriate.
- Ensure invoices and credit notes are processed within agreed service levels and deadlines.
Customer Invoicing and Credit Control Support
- Produce and distribute customer invoices in accordance with agreed processes and Schemes of Charges principals.
- Respond to customer and internal queries relating to invoices and revenue transactions.
- Provide administrative support for credit control activities, including the monitoring and follow-up of outstanding debts (where applicable).
- Liaise with customers and internal stakeholders to resolve billing and payment queries promptly and professionally.
- Escalate complex queries or issues to the Team Leader as appropriate.
- Support weekly billing schedules, month end processed and annual charges cycle
Project Code Administration
- Administer the creation, amendment, and closure of project codes in line with organisational procedures.
- Ensure project code information is accurate, complete, and maintained within relevant systems.
- Support colleagues and stakeholders with project code-related queries.
- Undertake periodic reviews and reconciliations to maintain data quality and integrity.
- Assist with ensuring project structures support accurate reporting and expenditure allocation (where applicable).
Data Management and Reporting
- Maintain accurate records across finance and project management systems.
- Perform routine data validation and quality assurance checks.
- Compile information and reports to support management decision-making.
- Identify and investigate data anomalies and escalate issues where necessary.
Customer Service and Stakeholder Support
- Deliver a professional, responsive, and customer-focused service.
- Build effective working relationships with internal and external stakeholders.
- Provide advice and guidance on routine revenue and project code processes.
- Act as a first point of contact for assigned queries and requests.
Continuous Improvement
- Identify opportunities to improve processes, controls, and ways of working.
- Contribute to the development and implementation of process improvements.
- Participate in team projects and service improvement initiatives.
- Support the adoption of new systems, procedures, and working practices.
Compliance and Controls
- Ensure compliance with relevant financial policies, procedures, and controls.
- Maintain appropriate records to support audit and regulatory requirements.
- Protect the confidentiality and integrity of financial and business information.
- Adhere to organisational policies, including data protection and information security requirements.
About You
Essential Experience
- Experience of working in an admin, finance, revenue, or customer service environment.
- Experience of processing and maintaining accurate records and large data sets.
- Experience of handling customer or stakeholder queries.
- Experience of working to deadlines and managing competing priorities.
Essential Knowledge and Skills
- Proficient in Microsoft Excel
- Strong attention to detail and commitment to accuracy.
- Good numerical and data-handling skills.
- Good organisational and time management skills.
- Strong customer service skills.
- Effective written and verbal communication skills.
- Ability to investigate and resolve routine issues.
- Ability to work effectively as part of a team.
Desirable Experience and Knowledge
- Experience within a finance, revenue, billing, or project administration environment.
- Knowledge of management accounting would also be beneficial.
- Knowledge of invoicing and credit control processes.
- Experience of financial, ERP, or project management systems.
- Experience of contributing to process improvement initiatives.
Additional Information
For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.
SC - To be vetted we will usually expect a reasonable period of residency in the UK so that meaningful checks can be undertaken. For this role this will need to be 5 years.

The CAA will be relocating from Aviation House (Our Gatwick Office) to new premises in a few years’ time. Our move is driven by strategic, operational and environmental considerations.
We will be moving to a new local home, up to a 15-mile radius of Aviation House, to minimise disruption for our valued colleagues and customers.
We are now working with colleagues and visitors to understand what we need in our new office, before we start our property search. We will sell Aviation House and land, vacate the site and move to new premises, but we do not expect to move before 2028
