The Role
The UK CAA , has established a team of technical specialists that will support its diverse certification and design activities, including those associated with commercial air transport, general aviation, unmanned air vehicles, space flight and innovation. Reporting to the Business Delivery Manager (BDM), you will play a key supporting role with a broad remit of vital administrative accountabilities and tasks, facilitating the delivery of the team core functions including projects, events, meetings and reporting.
Core Accountabilities
- Manage the Design and Certification mailboxes
- Maintain the Design and Certification SharePoint Online site and act at Super User, along with the co-ordination of document management across the team.
- Assist with Design and Certification meetings, including collating meeting agendas and supporting reports, taking minutes and actions
- Support the Business Development Manager (BDM) with team recruitment matters
- Maintain and update training and competency records and plan training courses as part of the annual training plan, along with the creation of a training needs analysis for the forthcoming year.
- Monitor and track ongoing compliance and sustainability of ICAO protocol questions in relation to training records and updating the ICAO database with required amendments
- Generate management information, such as key performance indicators and the results of governance activities
- Assist with administrative functions relating to performance-based oversight (PBO) reporting
- Coordinate and support with the development of departmental procedures, compliance monitoring, and standardisation processes, along with the internal and external audit findings
- Coordinate the internal complaints process to ensure that issues are resolved.
- Undertake para-technical assessment of stakeholder applications
- Coordinate and contribute to team projects, and the coordination of planning activity
- Support continuous improvement initiatives.
- Support Internal Communication activity, and arrange and coordinate internal and external stakeholder seminars
About You: Ideally you will understand the CAA’s statutory role and responsibilities and the ability to convey this to external parties. Additionally, you will have previous administrative and support experience, with a focus on delivering customer excellence.
Essential Criteria:
- Able to manage a variety of business support and para technical functions
- Confidently adjust competing priorities according to business needs, which are often to tight deadlines, organised and patient with a focus on delivery.
- Able to make informed balanced decisions, whilst applying the necessary judgement on when to seek guidance and support
- Able to identify opportunities for continuous improvement and to propose solutions
- Ability to research, assimilate, provide information, and produce reports
- Excellent communication skills, both written and verbal, acting tactfully, with discretion and integrity
- Confidently engage in discussions that may be challenging.
- Proficient in the use of Microsoft Office products – along with SharePoint and Power BI
Desirable requirements
• Experience of working in an aviation, aerospace, or a regulatory environment
• Knowledge of Design and Certification and the role of the Safety and Aerospace Regulation Group (SARG) work, along with associated tools and systems
Relocation & Property: The CAA will be relocating from Aviation House (Our Gatwick Office) to new premises in a few years’ time. Our move is driven by strategic, operational, and environmental considerations. We will be moving to a new local home, up to a 15-mile radius of Aviation House, to minimise disruption for our valued colleagues and customers. We are now working with colleagues and visitors to understand what we need in our new office before we start our property search. We will sell Aviation House and land, vacate the site, and move to new premises, but we do not expect to move before 2028
