The Role
The purpose of this role is to provide high-quality and valuable support to the diverse areas within the busy Office of General Counsel (OGC) enabling the department to run smoothly. This includes providing business and administrative support as well as project coordination
Core Accountabilities
The Business Support Officer is responsible for the coordination, organisation, and prioritisation of the OGC business support functions, ensuring these are performed in an efficient and effective manner with utmost integrity. Accountabilities include:
Business management support:
- Managing & monitoring multiple outlook mailboxes, triaging, and distributing incoming department emails
- Organising and coordinating internal & external meetings plus appropriate resources, scribing and distributing meeting notes and minutes
- Booking travel and accommodation for team members in the UK and overseas
- Diary management, case and document file management
- Liaise with external suppliers, raise purchase orders and conduct relevant financial tasks for budget management
- Assisting in the design, production and updating of office documents, e.g., policies, Avoka forms, templates as well as department and/or corporate systems and processes
- Collating information and preparing monthly management dashboards and ad-hoc reporting
Support for Investigation & Enforcement and Legal Teams:
- Maintaining databases containing case information, ensuring the details are accurate, up to date and kept confidential as required
- Create & amend Adobe e-bundles, collate and circulate prosecution bundles to internal and external stakeholders
- Provide administrative preparations and arrangement of regulatory hearings as required
- Responding to internal/external enquiries/requests and complaints by assessing content and drafting appropriate responses
Assist Head of Corporate Governance:
- Assist in programme/project deliverables as appropriate
IT (ISD) coordinator for OGC:
- Being the first point of contact between OGC and IT, providing technical support when necessary, taking ownership and responsibility for any issues or requests through to successful resolution
- Represent OGC on IT related projects ensuring departmental requirements are represented and any changes are communicated back to team members
About You
The successful applicant will need to be able to demonstrate the following:
- Excellent verbal and written communication skills to effectively interact with stakeholders
- Excellent organisational and administration skills with an acumen to gather and present information in a predefined way.
- Experience of liaising with internal and external stakeholders.
- Accuracy is key with an eye for detail.
- Good IT skills and ability to adapt to new systems.
- A strong team player, able to work collaboratively, supporting and communicating effectively with colleagues
- A flexible approach is required with a positive can-do attitude.
- Drive and initiative to develop new ways of working
- Knowledge and experience in using MS Excel and with sound experience of other Microsoft Office suite, Adobe,
- Multi – tasking with a proactive focus on completing tasks within required deadline
- Proven planning and time management skills including an ability to effectively prioritise in a busy environment to meet business needs
- Problem Solving – Ability to come up with solutions to increase the effectiveness and efficiency of the administration tasks and other business processes
Additional Information
For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.

We are now working with colleagues and visitors to understand what we need in our new office, before we start our property search. We will sell Aviation House and land, vacate the site and move to new premises, but we do not expect to move before 2028
