The Role

 

Reporting to the Property and Workplace Services Manager, provide proactive and effective management and oversight of all facilities management services across CAA’s property portfolio.   Primary responsibilities will be to act as lead “client” role and ensure all hard and soft FM service delivery and statutory compliance are delivered, working predominately with the CAA’s outsourced Total Facilities Management (“TFM”) contractor team based at CAA offices. 

 

Working as part of a small Workplace Services team, the successful candidate needs to be a knowledgeable and experienced facilities manager, self-motivated and well organized to manage a demanding and varied workload, with a flexible approach to respond to rapidly changing situations when necessary, and an ability to prioritize work activities.

 

This role requires 2-3 days office presence across the organisation.

 

Core Accountabilities

 

  • Undertake the “client” role to effectively manage the CAA’s TFM integrated services provider, the Business Travel provider, and the Catering Service provider, to ensure consistent and quality delivery of a range of hard and soft FM services across the property portfolio.
  • Performance management of third-party suppliers using an appropriate mix of audits, compliance to SLAs and KPIs, CAFM generated data, visual inspections, and supplier provided monthly management reports.
  • Ensure statutory PPM tasks are completed in a timely manner, and in full compliance with all relevant statutory codes of practice and obligations.
  • Work closely with CAA’s Health and Safety Team, ensure the highest levels of Health and Safety are achieved across CAA’s property portfolio, including participating in regular office audits and inspections.
  • Provide support when required to specific Workplace Services projects.
  • Ensure strong client relationships are developed and maintained with key suppliers and stakeholders.
  • Check accuracy and approve for payment for supplier invoices, monitoring financial expenditure against budget.
  • Provide information as required by Finance to ensure the CAA has the adequate levels of insurance cover for all CAA’s property and assets.

 

About You

 

Essential

 

  • Knowledge of and compliance with health and safety legislation in the workplace
  • Experienced in managing a range of both hard and soft contracted services.
  • Experienced in crisis management and safe resolution of property related incidents.
  • Ability to “think on your feet” make reasoned and appropriate decisions, working both independently and collaboratively within a small team.

 

Desirable

 

  • Associate or Member of Institute of Workplace and Facilities Management (IWFM) (previously BIFM) or similar professional body e.g., CIBSE.
  • Conflict resolution experience – handling complaints and working through resolution.
  • Experience of performance management, audit processes and compliance techniques
  • Customer service orientation with good communication skills across the business and with supply partners and their teams
  • Self-motivated and delivery focused.

Additional Information

 

For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.

 

To be vetted we will usually expect a reasonable period of residency in the UK so that meaningful checks can be undertaken. For this role this will need to be 5 years.
